Apparel Embroidery Solutions, LLC (“we,” “us,” or “our”) operates apparel-embroidery.com, provides custom embroidery and decorated apparel products and services, and runs internal business applications described below. This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect from Customers and Visitors

  • Contact information you give us. When you request a quote, place an order, or contact us by form, email, or phone, we collect the details you provide: name, email address, phone number, company or organization name, shipping address, and the specifics of your request (such as artwork, logos, garment types, and quantities).
  • Order and payment information. When you purchase from us, we collect the information needed to process and deliver your order. Card payments are handled by our payment processor; we do not store full card numbers on our systems.
  • Website usage information. Like most websites, our site may use cookies and similar technologies to keep the site working and to understand general visitor activity, such as pages visited and approximate location. You can control cookies through your browser settings.

How We Use This Information

  • To respond to quote requests and questions.
  • To produce, fulfill, and deliver your orders.
  • To send order updates and service communications.
  • To send occasional marketing email about our products and services, if you are a customer or have signed up to hear from us. Every marketing email includes an unsubscribe link, and unsubscribing is immediate.
  • To operate, secure, and improve our website.

What We Do Not Do

  • We do not sell your personal information.
  • We do not share your information with third parties for their own marketing.
  • We do not knowingly collect information from children under 13.

Artwork and Logos

Artwork, logos, and designs you send us are used only to produce your order and to maintain your order history so reorders are easy. We treat customer artwork as confidential and do not share it except as needed for production.

Our Internal Applications

We operate internal software used only by our own staff to run the business. These applications connect to our own accounts through authorized, secure API connections (OAuth 2.0). They are not offered to the public and do not collect information from website visitors.

1. Marketing operations application

Used by our staff to plan, draft, and schedule our own marketing. With our authorization, it accesses our own Google account data: calendar events it manages, email drafts it creates in Gmail (it does not read our inbox and never sends mail on its own), files and folders it creates in Google Drive, our Search Console performance data (read-only), videos we stage as private uploads to our own YouTube channel, our Google Business Profile posts, and our Google Ads account data (keyword research and performance reporting; any campaign it creates is created in paused status and activated only by a person).

2. AP Reconciliation application

Performs our internal accounts payable reconciliation. It accesses:

  • QuickBooks Online: vendor names, bill numbers, amounts, dates, payment status, and account balances via Intuit’s API using OAuth 2.0
  • Google Drive: vendor statement PDFs from designated folders
  • Google Sheets: reconciliation tracking data for reporting
  • Gmail: exception reports sent to authorized personnel

All accessed data is used exclusively for internal accounts payable reconciliation, including parsing vendor statements, comparing data against QuickBooks records, identifying discrepancies, and generating audit reports. The application processes data in real time on Google Cloud Run. Financial data is accessed on demand and not stored persistently beyond each reconciliation cycle. OAuth tokens are stored encrypted.

Google API Services — Compliance and Limited Use

Our applications’ use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • Google user data is used only to provide the internal features described above, on our own accounts, at our own direction.
  • We do not transfer Google user data to third parties except as necessary to provide those features (see Service Providers below), to comply with applicable law, or as part of a merger or acquisition with notice.
  • We do not use Google user data for advertising purposes, and we do not sell it.
  • Humans do not read Google user data obtained through these connections except where we (as the account owner) direct it, where necessary for security purposes, or to comply with applicable law.
  • Access can be revoked at any time at myaccount.google.com/permissions.

Service Providers

We use a small number of service providers to run our business, including our website host, our email service provider (for order and marketing email), payment processors, Google Cloud Platform (infrastructure), Intuit QuickBooks (financial data access), and Anthropic (portions of vendor statement text are sent to the Claude API for classification, and our marketing application uses the Claude API for drafting assistance). These providers process information only on our behalf and under their own security and privacy obligations.

Security

Measures include encrypted communications (TLS/HTTPS), OAuth 2.0 authentication, secure and encrypted credential storage, private-network hosting for internal applications, and access restricted to authorized personnel.

Data Retention

We keep order records and correspondence as long as needed for business, accounting, and legal purposes. You may ask us to delete your contact information at any time, subject to records we are required to keep.

Your Choices and Rights

You can ask us to access, correct, or delete the personal information we hold about you, or to stop sending you marketing email, by contacting us using the details below. We will respond within a reasonable time.

Changes to This Policy

If we change this policy, we will post the updated version on this page with a new effective date.
